POLICY: Rental of ACSL Facility

This policy covers the rental of ACSL facilities space for various types of events. ACSL does not intend to allow rentals for events the Center does not, at least, support. Support means that the content of the event is consistent with what the Center teaches or is useful in an educational sense for what the Center wants to accomplish..

Venues Available

The ACSL Facility includes both a sanctuary, one or more classrooms, a full kitchen, a bookstore/library/office, three bathrooms, a practitioner/meditation room, a garden and a backyard. ACSL makes the sanctuary, classrooms and kitchen available for workshops, classes and presentations. Each of these venues is separately rentable. In addition, for special events such as Weddings, ACSL permits its entire facility to be rented including all spaces mentioned above, its garden area and the backyard, if it is available.

Priorities Between Different Usages of Space

There are three types of usage that this policy will cover with their respective priorities:

  1. Events ACSL SPONSORS: event run by ACSL, e.g. a class, a service, or party,
  2. Events ACSL HOSTS:an event ACSL promotes, e.g. a workshop or a presentation, and
  3. Events ACSL SUPPORTS: an event that is in alignment with the Center’s teachings or is useful in an educational sense for what the Center wants to accomplish.
There are some ACSL sponsored events that are fixed as a top priority -- like the Sunday service. There may be other ACSL sponsored events that might have more flexible prioritizations. These kind of events will have to be individually evaluated for their level of importance. However, it is the Center’s intention that ACSL sponsored events will not be routinely moved to accommodate another, just for the monetary reasons. .

Usage Classifications

There are four types of users of the Center’s space that this policy will cover:
  1. Trainers, Workshop Leaders, Presenters of ACSL Sponsored or Hosted events.
    The fee or love offering/suggested donation paid by attendees is received by ACSL and split between ACSL and the leader(s) of the event. The split is discussed in the appropriate section below.
  2. Members, or anyone who is part of the Center family where “center family” is defined as any person who is involved in the center on a consistent basis.
    Members or those classifiable as part of the Center family as defined above receive a discounted rate for use of ACSL’s facility. The discount is noted in the chart below.
  3. Non-Profit Organizations
    Those organizations which are non-profits as defined by the IRS and Texas state government can receive the same discounted rate as Members (as noted above). The discount is noted in the chart below.
  4. Non-Member (non-participant in the Center) or Commercial Organizations
    Any other person or group that holds an event at ACSL pays the full rental rate as noted in the chart below.

Fee Splitting for Trainers, Workshop Leaders, and Presenters

In most cases when ACSL is either SPONSORING or HOSTING a workshop, class or presentation, the leader(s) of the event will receive a portion of the fees or other donations or love offerings that participants pay to attend the event. These fees or other monies are received first by ACSL either through check or cash. Once the event is over, the ACSL Treasurer will count up the funds received and send the appropriate portion of that total to the leader(s) as agreed to in advance of the event. Any monies associated with the purchase of course materials, books, CD’s or other leader sourced materials will be paid to the leader(s) in full with no portion kept by ACSL unless a prior agreement concerning splitting of these receipts has been made

The standard Fee Split is 50% for the event leader(s) and 50% for ACSL. The Fee Split can be adjusted through a prior agreement with the ACSL Event Coordinator and the Minister of ACSL. Any such agreement must be communicated to the ACSL Treasurer to insure that the proper payments are made to the leader(s).

In some cases, the leader(s) can choose to rent the facility instead of receiving a portion of the fees. This requires prior agreement with the ACSL Event Coordinator and the Minister of ACSL.

Whole Facility Rental (Weddings, etc.)

These rates apply when the whole facility is needed for either a half or full day. An example of this usage would be a Wedding. All rooms are made available to the renter for this type of event including the bookstore/library, classroom, practitioner room and backyard (as available).

Facility Fee: Full Day (more than 4 hours) $200 or Half Day $125 to anyone outside the center family, and for any event not hosted or sponsored by the center. Full Day $100 or Half Day $62.50 to anyone who is part of the center family. “Center family” is defined as any person who is involved in the center on a consistent basis.

Security/Custodial fee: $15 per hour with 3 hours minimum. It is the responsibility of renter for opening and closing the center, insuring the center is secure throughout the event, and cleaning up afterwards, if necessary. The renter must inform ACSL ahead of time whether or not they intend to do the cleanup so that, in the event they plan not to cleanup, ACSL can arrange for our own cleanup crew.

Deposit: $100. The renter will have the deposit returned if the premises are left in the same condition as they were to start. If not, then the Security Person will arrange the clean up at the rate of $15 per hour per cleaning person needed, and the balance of the deposit will be returned to the renter following the cleanup.

Other Fees, Service and Rules

Kitchen Use Fee: $40 to everyone. This is primarily for catering activities where the oven and range and a large portion of the refrigerator and freezer are needed for the event. Casual usage of the refrigerator for holding bag lunches or snacks does not require the payment of a Kitchen Use Fee.

Other Services: The renter will be responsible for providing other services such as musicians, photographers, childcare attendants, etc. We may be able to provide recommendations for some of these services.

Sound System: The center has a sound system available for use, but our sound technician must operate it. The hourly rate is to be negotiated by the renter directly with that person.

Alcoholic Beverages: With one exception, no alcoholic beverages are permitted on the premises of the center. However, in the case of weddings, Champaign, beer or wine may be served following the wedding service or during a reception
